Job Duties:
Processes all paperwork from contract to close
Reviews contracts for completeness, signatures, files for compliance and works to correct any paperwork issues
Sets calendar reminders according to contract deadlines
Obtains a copy of Earnest Money check, verification of EM receipt and deposit in accordance with the contract
Coordinates pending rider for listings
Set appointments and coordinate with vendors/clients for home inspections, bids, repairs, appraisals, signing appointments
Obtains CC&Rs, title commitments, HOA information, and other necessary documentation for file, etc.
Liaison with clients, title company, Catalyst agent, opposing agent, lenders, vendors
Updates spreadsheets, Follow Up Boss, and other trackable data per TC checklist
Prepares paperwork/addendums as directed by agent (i.e., addendums and RE10s using language provided by agent)
Sends paperwork for signatures through electronic signature programs
Communicates clearly and concisely all timelines
Orders listing home warranties per contract
Sends checklists, utility contacts, reminders of what to bring to closing, and other information to clients to prepare clients for closing
Reviews title commitments and settlement statements
Prepares DA’s and Agent commission check delivery
Orders sign removal on listings
Creates buyer baskets and seller gifts in advance of closing
Coordinates lockbox retrieval and keeps inventory spreadsheet up to date
Coordinates keys, shoe covers, special signage in listings to be removed, etc.
Marks listings sold on MLS and Tour Factory and processes the closed file
Manages birthday card system and mails
Manages anniversary card system and mails
Manages end of year letters with closing statement and mails
Sends weekly updates to clients and agents on contracts
Client surveys at closing
Collects, saves to Drive, and uploads to Silvercreek for compliance all dead, terminated, and canceled contracts
Bank deposits
Updates SOPs and Canned Responses as needed
Saves all paperwork and information to Drive and Dropbox
Uploads paperwork to Silvercreek for compliance review and works to correct items as needed
Answers emails of inquiries by title companies, lenders, agents, and vendors in regards to contracts
Creates Net Sheets as needed
Participates in weekly team meetings, updates team on Pending Pipeline and team stats, and client testimonials
Upholds Catalyst Group standards in appearance, communication, and procedures
